We are looking for a friendly, detail and service-oriented office manager / IT coordinator for our NY Office. In this role you will create and manage programs and systems that strengthen our people, processes, and spaces. You'll be joining a team of doers who are open to new ideas and committed to executing them seamlessly. You will greet guests and oversee our visitor process to ensure a smooth and positive guest experience. You will manage office moves and be responsible for ensuring that moves are timely, efficient, and as minimally disruptive as possible. You will vet food and beverage vendors for the office and handle implementation of new vendors. You will help with recruiting and people ops needs from overseeing onsite interviews and candidate experience to onboarding. You will lead in setup/breakdown of both internal and external meetings and events that are hosted in the office. You will own facilities management which includes security, mail/packages, janitorial/maintenance, property manager relations, and external vendor relationships. You will maintain safe, organized, well-stocked and visually appealing reception and public areas (conferences rooms, kitchen, etc.) You will own procurement for the NY office and any NY employee needs and track spend/costs clearly to help ensure that the finance team has visibility. You will help support the IT team and be the remote eyes/ears/hands to triage and resolve IT issues. You will help implement and communicate culture and Medium values into the workplace by organizing team events periodically. 3+ years of office management experience Must have superior oral, communication & written skills including proficiency with Google applications Experience with vetting, implementing, and managing external vendors for food/beverage programming Be highly adaptable and comfortable with change and ambiguity Must be a go-getter with a friendly and energetic attitude, and an ability to work cross-functionally at Medium Ability to problem-solve quickly and work independently with minimal support Experience moving offices and scaling processes during periods of rapid growth Be comfortable with helping the IT team with basic IT tasks and being their on-the-ground support for NY Willingness to help out in areas outside of defined role
